Who are you?

As a Sales & Marketing Operations Coordinator, you will play a central role in keeping K-Hart's sales and marketing operations organized, responsive, and moving forward. This is a detail-oriented, process-driven position focused on coordination, communication, and operational support. You will work closely with the Director of Sales & Marketing, Production Planner, Director of Operations, Parts Department, dealers, and customers to ensure information flows properly, timelines stay on track, and key tasks do not fall through the cracks. The ideal candidate is highly organized, accountable, and comfortable managing multiple priorities at once. You enjoy building structure, improving processes, and supporting a fast-moving team behind the scenes. This role is less about creative marketing and more about ensuring the systems, communication, and operational details behind the business run smoothly.

What will you do?

Sales & Operational Coordination:

  • Provide day-to-day administrative and operational support to the Sales & Marketing department
  • Assist with preparing customer quotations, invoices, and sales documentation through the company CRM and ERP systems
  • Work closely with the Production Planner and Director of Operations to help ensure sold units are scheduled, built, and delivered on time
  • Coordinate with Parts Specialists to help ensure machines, components, and supporting materials are shipped accurately and efficiently
  • Assist in managing dealer onboarding, pricing programs, sales initiatives, and internal sales communications
  • Help establish timelines, track progress, and follow up on outstanding tasks or deliverables
  • Act as an internal point of coordination when the Director of Sales & Marketing is traveling

CRM, Dealer Portal & Data Management:

  • Maintain accurate CRM records including dealer contacts, customer information, sales opportunities, machine ownership data, and dealer staff roles
  • Help improve data quality, consistency, and organization across internal systems
  • Manage dealer portal access requests and maintain current sales and marketing information for both Canadian and U.S dealers

  • Build and maintain organized contact lists for marketing campaigns, dealer communication, and customer outreach

Marketing & Event Coordination:

  • Coordinate trade show logistics including registrations, shipping, booth materials, hotel coordination, and timelines
  • Assist with dealer meetings, field events, customer clinics, and sales support activities
  • Coordinate marketing materials, merchandise orders, and promotional inventory
  • Support marketing campaign execution and assist with communication coordination between departments
  • Help track marketing expenses and assist with budget forecasting and reporting

What do you need to succeed?

  • 3-5 years of experience in an administrative, sales support, operations, or coordination role
  • Is highly detail-oriented, organized, and process-driven
  • Communicates professionally and follows through consistently
  • Is comfortable managing multiple projects, timelines, and priorities simultaneously
  • Takes initiative and helps solve problems before they become larger issues
  • Is comfortable working with CRM, ERP, and Microsoft Office Systems
  • Understands the importance of responsiveness and accuracy when supporting dealers and customers
  • Has experience in agriculture, equipment, manufacturing, or a related industry (considered an asset)
  • Values accountability, teamwork, and professionalism
